Terms and conditions
Last updated: October 16, 2026 · Version 2026-10b
These terms govern the use of the RutaSegura app and website. Together with the privacy policy, they form the service's terms of use. They are governed by the laws of the Republic of Panama, in particular Law 51 of July 22, 2008 (electronic documents and commerce), Law 81 of March 26, 2019 (personal data protection) and Law 45 of October 31, 2007 (consumer protection).
1. Who provides the service and how these terms are accepted
Tax ID (RUC): 155687010-2-2019 DV 53
Address: Boulevard San Antonio, A 32, San Miguelito, Republic of Panama
Support: soporte@rutaseguraapp.com · Privacy: privacidad@rutaseguraapp.com
The whole service is in a single app (on phones and on the web): each person signs in with their account and sees the screen for their profile (family, bus monitor, driver, coordinator, office, school or billing). These terms apply to the Client that hires RutaSegura and to everyone who is given access. By signing in or using the service you accept these terms; that acceptance does not replace the specific consents the law requires for certain data or features, which are requested separately. If the Client signed a contract with us, its commercial conditions prevail on the matters they cover, without affecting rights the law does not allow to be waived.
2. Definitions
- Client: the school or transportation company that hires RutaSegura and decides about its operation's information.
- Data controller: whoever decides what personal data is used for and how. For transportation data it can be the school, the transportation company or both, each for what it decides.
- Data processor: whoever processes data on the controller's behalf and following its instructions. For transportation data, RutaSegura acts as processor.
- Coordinators and office staff: the Client's staff with permission to create and change routes, students, buses, users, messages, charges or reports, as the Client assigns.
- User: each person who uses RutaSegura (families, bus monitors, drivers, office and school staff).
- Data subject: the person the data belongs to, including students.
3. What RutaSegura is
A support tool to organize and follow school transportation: it shows the bus live, sends alerts to families, lets staff take attendance and helps the Client organize routes, stops, changes, field trips, buses and staff. Depending on the plan and the Client's settings, it may include modules such as online payments, surveys, field trips, WhatsApp messages or fleet maintenance. Mentioning a module here does not mean it is active for everyone.
4. Accounts, roles and permissions
- Accounts are created by the Client or by invitation; there is no open sign-up. The Client decides who gets in and what they can see or do.
- Each person only sees what concerns them: a family, their children; a bus monitor or driver, their route for the day; the school, its students; office staff, what coordinators allow. Each company only sees its own data.
- Your account is personal. Use a strong password, do not share it, protect your phone and tell us if you think someone got in without permission. Office staff must use two-step verification.
- The Client must promptly deactivate the accounts of people who no longer work with it or use the service.
- We may suspend an account if there are clear signs of a security risk, informing the Client as soon as possible.
5. Location and route tracking
The bus monitor's or driver's app sends the bus location while the route is in progress, also with the app closed, so coordinators and authorized families can follow the trip. Staff are informed when it turns on and off. Only the people, routes and times the Client authorizes can see the location: tracking staff outside the service and publishing students' locations or homes are not allowed.
Location depends on the phone's GPS, signal, battery and permissions, and on third-party map services. It may be delayed or interrupted, and arrival times are approximate: they are not a guarantee of arrival, pick-up or drop-off.
6. Alerts, attendance and communications
RutaSegura sends service alerts (bus nearby, boarded, arrived, traffic, approved changes, field trips and more) and lets staff record who boards and gets off. These records reflect what staff mark or what the technology captures: they are an aid and do not replace the bus monitor's and driver's supervision, checks at the stop or the school's and transportation company's protocols. Alerts about a breakdown, a child not dropped off or a stopped bus are technology alerts, not a surveillance service or a connection to emergency services: the Client must have its own protocols. Alerts depend on notifications being on and on the phone's connection.
7. Changes, absences and field trips
Change requests and absences can be sent up to 15 minutes before each departure (or the time the Client sets) and are subject to coordinators' approval. A request is not confirmed until the app shows it as approved. On field trips, coordinators may let the bus monitor build the list; that permission is temporary and ends with the day of the trip.
8. Online payments
When the Client turns on charges, families can pay monthly fees and trips from the app or a payment link:
- RutaSegura does not receive, hold or manage the money. Each payment goes directly to the Client's account at its bank or its Yappy. RutaSegura only connects that payment to the app and issues the receipt with the Client's details.
- Amounts, dates, surcharges and conditions are set by the Client; RutaSegura only shows what the Client configures.
- Card payments are processed by the Client's bank on its secure page; RutaSegura does not see or store card numbers. Yappy payments are processed by Yappy, into the Client's account.
- Bank transfer payments stay pending until a person from the Client checks them at the bank and approves them; the receipt is sent only after approval.
- The receipt can be issued to a person or a company (company name and tax ID) with the details you provide.
- Refunds, cancellations and claims about a charge are handled by the Client under its contract with families; we will help as far as we can. You keep your consumer rights before Panama's Consumer Protection and Competition Authority (ACODECO).
9. The Client's responsibilities
- Providing the transportation: drivers, bus monitors, buses, permits, insurance, schedules, service quality and student safety protocols.
- Lawfully deciding which data it enters, for what, who sees it and how long it is kept, and informing families and staff.
- Obtaining parents' or guardians' authorization when the law requires it.
- Keeping data correct and up to date, and reporting changes to users, routes and assignments.
- Making sure its staff use the app, phones and permissions properly and do not share students' data or locations beyond authorized people.
- Handling, with our technical help, families' requests about the data it is responsible for.
10. RutaSegura's responsibilities
- Providing access to the contracted features, with maintenance, fixes, updates, support and reasonable security and continuity measures.
- Processing transportation data only on the Client's behalf, following its instructions, and only to provide, maintain and protect the service or comply with the law.
- Not using students', families', staff, home or route data for our own commercial purposes, or giving it to unauthorized third parties.
- Limiting technical access to authorized staff, with confidentiality and records.
- Informing the Client about outages, important changes or security incidents.
11. Availability and support
The service depends on the internet, phones, our servers and third-party services. We perform maintenance and changes to protect the system, trying to do so outside route hours. The Client and users must use compatible phones, with mobile data and the necessary permissions. Delays caused by lack of signal, dead batteries, disabled permissions or misuse are not, on their own, a breach on our part.
12. Proper use and prohibitions
You may not use RutaSegura to track people without authorization, access data that does not concern you, copy or extract data in bulk, spread information about minors, alter or fake the location, impersonate another person, perform unlawful reverse engineering, overload the system to affect it, send offensive content or try to breach security. We may suspend accounts that do so.
13. Intellectual property
The RutaSegura brand, its logo, design, code and the content of the app and site belong to GR Multiservicios PTY, S.A. We give you a limited permission to use them only while you use the service, with your profile and for its purpose: following your children's transportation or doing your job.
14. Limits of the tool and liability
RutaSegura does not provide the transportation and does not replace the school, the transportation company, the driver or the bus monitor in their obligations regarding safety, traffic, care of students, schedules or insurance. Routes, alerts and locations are support tools and must go together with procedures on the bus and at the stop. The transportation service is governed by the contract between the family and the Client. Each party is responsible for its own acts. Nothing in these terms limits liabilities that the law does not allow to be limited.
15. End of service and account closure
You can delete your account at any time from the app or the web (how to do it). Your account is also closed when your children's transportation service ends. When a Client stops using RutaSegura, we return or delete its data according to its instructions and what the law allows, and we do not reuse it.
16. Changes to these terms
We may update these terms for technical, legal or service reasons. Each version shows its date. If a change is important, we will let you know in the app or by email before it takes effect and, if the law requires it, ask you to accept it again.
17. Governing law, claims and contact
These terms are governed by the laws of the Republic of Panama. Questions and claims about the service can be sent to soporte@rutaseguraapp.com and those about personal data to privacidad@rutaseguraapp.com. Any dispute will be submitted to the courts of Panama City, without prejudice to your right to go to ANTAI, ACODECO or other competent authorities.
